What qualifies a group?
Usually a group is defined as a number of people consisting of 12 or more and belonging together. About 8 people define smaller groups, but unfortunately there is no advantage price-wise with a group of less than 12 people.

We make the planning easy- group travel participants register through us, instead of through you. This saves you time and also relieves the stress of planning a large group trip overseas. How much does group travel cost?
Most airlines and hotels require a small deposit for group travelers, refundable up to a certain point. When booking a group trip, we highly recommend planning a year in advance. This makes it easier not only for you, but also for your travel company, airline company, and hotels as well.
Traveling in a group of 20+ people will often times grant you the most discounts and amenities. However, group airfare is still recommended for 15+ people. But if the number of travelers drops below 12, we don’t suggest booking airfare together.

How do I get started?
At Hawaii Aloha Travel, we recommend appointing a group leader within the traveling group. This person will be in charge of communicating with everyone in the group as well as the people at the travel company, airlines, and hotels.
The group leader is responsible for creating a name list (complete name of all travelers, birth date, contact info, etc.) and needs to be responsible and a good communicator. Usually, there should be incentives for being the group leader. A free hotel room, plane ticket, or cruise pass is a good idea. We can also negotiate upgrades from companies. The top goal of the group leader is to understand the travelers’ needs and convey that in an effective way to all involved outside parties.
Once you've appointed a group leader, this person should then contact one of our agents and give us the details of the group (i.e. size, dates, intended locations, etc.) We can begin planning from there.
What about airfare?
Most times you will need to put a small deposit down for group airfare, which is refundable up to a certain point. We recommend planning a year in advance to secure the cheaper flight prices.
The ideal situation is to get everyone in the group to depart from the same airport on the same day. This doesn't necessarily mean at the same time however. Some groups find it easier to stagger their departure and arrival times, which actually is easier for larger groups of 50+. It is beneficial to be flexible in this scenario because you may receive cheaper airfare and shuttle service. The group becomes more manageable when broken up into smaller groups.
We understand it is difficult to rally a large group together in one airport location. But if you have 12 people or less who are coming from different airports, unfortunately you are not eligible for group airfare. If this is the case, simply treat each person as an individual booking. You won’t receive any savings, but it won't cost you any more either. You may even receive better prices booking people in couples.
We recommend using group airfare only if you have 15+ people in your group. If for whatever reason your group drops below 12 people, you may be forced to surrender the discounted price and pay for the original amount for an individual ticket booking. You do not want this to happen because it ends up costing you more. This is why we advise group airfare only if you have 15+ members because chances are, at the last minute, some people may end up canceling for whatever reason.
What about hotels and accommodations?
Most people prefer to book accommodations based on the nature of the trip. For example, a two-week long family trip of 30 people might want to stay in condominiums that offer kitchens and barbeque areas. Or, your 1-week conference trip group might enjoy a hotel with pool and golf amenities. We can help narrow this down by offering to create a personal survey that group members can fill-out. This is helpful to you and to us in order to maximize and create the perfect group travel package.
Most hotels give discounted rates for groups. If asked, they will provide individual pricing out of single, double, triple, or even quadruple occupancy rates. This helps you receive the best possible rate for rooms. We do not recommend blocking rooms. If you do this, you are then liable to pay for all rooms that you have blocked, regardless of your group diminishing in size. This is a major reason why working with Hawaii Aloha is so convenient. We have pre-blocked rooms so you don’t have to and there is no extra charge. This allows you the flexibility of changing the number of people within your group, without being financially punished.
Hotels typically charge what’s called a portage fee. This refers to the movement of a group's luggage from the baggage claim at the airport to the hotel. It is also getting the luggage off the buss and up into the hotel rooms. This can be up to $14 per person without a travel company. We can arrange this transportation for groups of people at a minimum charge.
What about cruises?
If you’re interested in doing a group cruise, you need a minimum of 16 people staying in a minimum of 8 cabins. This is a great option for large groups because there is a definite price advantage as well as group amenities. However, there is only double occupancy on NCL (Norwegian Cruise Line). No triple or quadruple occupancies. But, you can collect amenity points with larger groups. For example, every 16th person in one group cruises for free. This would be a huge advantage if you have 32+ or even 16+ people.
Which island is recommended for group travel?
Our first choice is Oahu. There are more restaurants, activities, hotels and accommodations, and meeting spaces, and it tends to be more cost effective. Oahu harbors the large city of Waikiki, a well-known area for visitors to have daytime and nighttime fun.
Our second choice is Maui. These two islands are the most doable with large groups. They provide better amenities for group travel and we are experienced in sending groups out to these two islands.
